How to import a bank statement PDF into TallyPrime

Banks send statements as PDFs, but Tally needs vouchers. There are three ways to get from one to the other. This guide compares them and shows the fastest one step by step.

The three ways to do it

1. Type it in by hand. Open the PDF, and for every line create a payment, receipt or contra voucher in TallyPrime. It works, but a busy current account can mean hundreds of entries a month - and every one is a chance for a typo in an amount or a date.

2. Convert the PDF to Excel, then import. Copy or convert the statement into a fixed Excel format and import that. It saves typing, but the conversion step is where columns get misaligned and entries go missing, and the sheet has to be fixed up before Tally will take it. Tips for a clean import

Set up your ledger names in Tally first, so transactions can be matched to the right ledgers.
Decide how NEFT, RTGS, IMPS, cash, card and UPI entries should be treated for each bank - the rules are set once per bank and reused on every statement.
Review the suspense ledger after each import: that is where anything unclear waits, rather than being guessed at.
Importing the same statement twice is safe - entries are matched on the UTR or cheque number, so they are updated, not duplicated.

Can TallyPrime import a bank statement PDF on its own?

Tally works with structured data, so a PDF statement normally has to be typed in or turned into a spreadsheet first. A PDF to Tally converter such as SunTim PDF Import reads the PDF directly and posts the transactions into TallyPrime as vouchers.

Does it work with TallyPrime and Tally.ERP 9?

Yes. Vouchers are posted straight into your own Tally company, in TallyPrime or Tally.ERP 9.

Do I need to convert the PDF to Excel first?

No. The statement PDF is read directly. There is no Excel template to download, fill in or fix before importing.

What if the same statement is imported twice?

Each voucher carries the reference number from the statement narration - the UTR on a NEFT, RTGS or IMPS entry, or the cheque number - so importing the same statement again updates the existing entry instead of creating a duplicate.

Is my bank statement uploaded anywhere?

No. The statement is read on your own Windows computer and posted into your local Tally installation. Nothing is uploaded to the internet.
